You do not need to try every AI tool to get useful work done. Start with the output you need: a checked document summary, an editable spreadsheet, or meeting notes with clear next steps. This page connects our practical guides into three workflows.
Start here: choose the task below. Each route explains what to prepare, which guide to follow and how to check the result. Our linked guides distinguish documented product features from hands-on tests; a suggested exercise is not a claim that we tested a product.
Choose your task
- Understand a PDF or report
- Turn a scanned table into spreadsheet data
- Turn meeting notes into a reliable action list
- Get started with Copilot or fix an upload
1. Understand a PDF or report
Your goal: a short summary that keeps the document’s important qualifications and points back to its evidence.
- Prepare: choose one document you are allowed to share. Identify the question you want it to answer rather than asking for a summary without a purpose.
- Follow: use our Copilot PDF summary walkthrough. If you use Claude, first read how its PDF uploads work.
- Check: compare one number, one conclusion and one limitation with the original. Verify citations instead of assuming a page reference is correct.
Prompt to adapt: “Using this document only, explain the main finding in five bullets. Include its limitations and the relevant section headings. Mark missing information as not stated. Do not turn an estimate into a confirmed result.”
You are finished when: the summary answers your question, its key facts match the source, and another reader can find the evidence. If you need editable rows instead of prose, use the next workflow.
2. Turn a scanned table into spreadsheet data
Your goal: a table whose values and columns match the original, with identifiers preserved.
- Prepare: keep the original PDF and identify the table headings, page boundaries and number of records. Note fields that must stay as text, such as ZIP codes or invoice IDs.
- Follow: read how to convert a scanned PDF to Excel for the documented conversion routes and a worked checking example.
- Check: inspect decimal points, negative signs, leading zeros and repeated headings. Compare individual rows as well as totals; two mistakes can cancel each other out.
Suggested review sheet: use columns for source page, record ID, field checked, source value, imported value and correction needed. Keep this alongside the converted file until the review is complete.
You are finished when: the row count, identifiers and important amounts have been checked. A neat-looking worksheet is not proof that OCR recognized every value correctly.
3. Turn meeting notes into an action list
Your goal: decisions and tasks with the correct owner and deadline, without invented commitments.
- Prepare: decide whether you need transcription, a summary or just actions. Follow your organization’s recording and consent requirements.
- Choose: if a separate bot cannot join, start with our guide to meeting note takers without a bot. For a free-plan comparison, read Otter vs Fathom. Confirm current device support and allowances with the provider.
- Check: review corrected dates, speaker names and who accepted each task before sharing.
Prompt to adapt: “Separate these notes into decisions, action items and unresolved questions. For actions, list the owner and deadline only when stated. Otherwise write not specified. Preserve corrections made later in the conversation.”
You are finished when: participants can confirm the decisions and task assignments. Save the source notes so disagreements can be resolved.
4. Get started with Copilot or fix an upload
- New to the interface? Follow the Copilot beginner guide.
- A file will not attach? Use the upload troubleshooting checklist. A failed attachment and a poor summary need different checks.
- Considering an upgrade? Read Copilot free versus paid and identify the specific feature you need before buying.
Choose a tool after choosing your workflow
Write down your device, longest typical document or meeting, required export format and budget. Then use the AI tools directory to build a shortlist. Evaluate one non-sensitive example before moving your regular work into a service.
These workflows are editorial guidance, not guarantees of accuracy. Check our editorial policy for how we present sources and recommendations. Product-specific review dates appear in the linked articles.
